What Is Specification in Construction?

Definition

A specification, or spec, is a written document that describes the materials, products, workmanship standards, and installation methods required for a construction project. Specifications complement the drawings by providing detailed requirements that cannot be effectively communicated graphically.

Construction specifications are organized using the CSI MasterFormat system, which divides building work into divisions numbered 00 through 49. Each division covers a category of work such as concrete, masonry, metals, wood, thermal protection, or electrical. Within each division, individual specification sections describe specific products and installation requirements in detail.

Specifications typically have three parts: General (scope, references, submittals, quality assurance), Products (acceptable manufacturers, materials, performance requirements), and Execution (installation methods, field quality control, cleaning, protection). This standardized format allows contractors and subcontractors to quickly find the information relevant to their trade.

The specification book, often called the project manual, works together with the drawings to form the complete construction documents. Drawings show where and how much; specifications describe what and how. When conflicts arise between drawings and specifications, the contract typically establishes which takes precedence.

Without clear specifications, contractors might install the cheapest available product, leading to performance failures, warranty issues, and owner dissatisfaction.
